Booking terms
Consultations, deposits, changes, series, and how the clinic and this website are run. These are booking terms; your treatment consent is a separate document, signed at the clinic.
These terms apply to appointments and treatment series booked with Aurelia Medical Aesthetics. The clinic's medical director is Dr. Maya Chen, MD, CCFP. By booking, you agree to them.
1. Consultation first
- Prescription treatments (botulinum toxin type A, hyaluronic acid fillers) are carried out only after a consultation at which a prescriber has assessed you and issued a directive. A prescription treatment booked without a consultation in the previous 12 months is converted to a consultation, and we'll tell you.
- A consultation, in person or by video, may end with the conclusion that a treatment isn't suitable for you. That's a normal outcome, not a failed appointment.
- Laser, light and skin treatments may be booked directly. Suitability, including a patch test for laser and IPL, is confirmed at the first session.
2. Bookings and deposits
- The medical consultation is $50, paid in full to book, and is credited against your first treatment at the clinic. The virtual consultation and the physician review are free.
- Treatments are confirmed once we receive a 50% deposit, by Interac e-Transfer or by card (through Stripe).
- Paying by Interac e-Transfer takes 3% off the whole appointment, and the deposit is worked out on the lower price. Card payments are at the full price.
- The deposit is due within 24 hours of booking, or 2 hours before the appointment if that's sooner. For e-Transfers, please include your booking code (it looks like AU-7K3QX) in the message.
- We hold your time until the deadline. If the deposit hasn't arrived by then, the booking is released.
- The deposit comes off your total; the rest is paid at the clinic after the treatment. Prices are before tax.
3. Rescheduling
- You can reschedule up to 48 hours before your appointment using the Manage my booking link in your booking email. Your deposit moves to the new time.
- Changes with less than 48 hours' notice can't be made online. Please reply to your booking email; any change within 48 hours is treated as a late cancellation.
4. Cancellations and missed appointments
- Cancel at least 48 hours ahead (with Manage my booking, or by replying to your booking email) and we refund your deposit minus a $25 cancellation fee. Card payments are refunded to the same card; e-Transfer deposits are sent back by e-Transfer within 2 business days.
- If you cancel with less than 48 hours' notice, or don't come to your appointment, the deposit is kept.
- If a treatment proves unsuitable for you at your consultation or first session, everything you've paid for it is refunded in full.
- If we need to cancel or move your appointment — a provider is unwell, or the medical director asks for a review first — we'll offer a new time with everything carried over, or refund it in full.
5. Your provider
Every booking reserves a named provider for the whole appointment. Prescription treatments are carried out by a nurse practitioner or registered nurse under the medical director's directive; laser, light and skin treatments by a medical aesthetician under directive. If your provider becomes unavailable, your booking moves to a colleague with the same designation at the same time, and we email you; if nobody suitable is free, we'll find a new time with you.
6. Your health and your safety
- Your medical history, medications, allergies, pregnancy status and consent are collected at the clinic through a secure intake tool and kept in your clinic record. Please don't send medical details through the booking form, by email or by text.
- Please tell us if you're unwell on the day. Some treatments must not go ahead with an active infection, cold sore or recent illness; we'll move you rather than treat you.
- The medical director, or the treating provider, may decline, adapt or postpone any treatment on clinical grounds. That decision is final and is not a cancellation on your part.
- Aftercare instructions are given in writing at the clinic. Following them is part of the treatment.
7. Arriving late
Please arrive ten minutes early on your first visit for intake and consent. If you arrive late, your appointment may be shortened, or moved if there isn't enough time to treat safely; after 15 minutes with no word, the time may be released and the deposit kept.
8. Treatment series
- A series is a course of one specific treatment, listed on the series page. It's paid in full, by e-Transfer (3% off) or by card. Unpaid orders are cancelled after 48 hours. No prescription treatment is sold as a series.
- Series are valid for 12 months from the day we receive payment. Ontario's gift-card rules allow an expiry date on a card for a single specific service; a series is one.
- Book each session online with your series code; no deposit is needed. Add-ons aren't included and are paid at the session.
- A session cancelled or rescheduled at least 48 hours ahead goes back on your series; with less notice, or a missed session, it's used.
- Series can't be refunded once started, except in full if the first session shows the treatment isn't suitable for you.
9. Loyalty points
You earn 1 point for every dollar spent at completed appointments and on series when they're paid. Every 200 points is $10 off a laser, light or skin treatment, taken at the clinic. Points aren't applied to prescription treatments, never expire and have no cash value.
10. Tips, reviews and photos
The clinic doesn't accept tips. We don't request reviews or publish testimonials, and we don't publish before-and-after photographs. Any photograph taken of you at the clinic is part of your clinical record, taken only with your written consent, and is never used in advertising.
11. Prices
Prices are shown on our treatments page and may change; the price at the time you book applies to that booking. Prescription treatments are listed by name, price and quantity. Prices are before tax.
12. This website
The photos on this website show the kind of clinic this is; they aren't photos of our rooms, providers or patients. Nothing on this website is medical advice, and nothing on it promises a result. The medical director is responsible for the content of this website.
13. Records
Booking records (name, contact details, appointment, provider, payment) are kept for three years, as Ontario Regulation 136/18 requires of personal service settings. Clinical records are kept by the medical director for the period the College of Physicians and Surgeons of Ontario requires.
